Role Purpose The Administrative Assistant will provide comprehensive administrative, clerical, and operational support to ensure efficient functioning of our cross‑functional delivery center in Monterrey. Key Responsibilities Handles details of routine items on a daily basis. Primary liaison for coordinating and interfacing with other administrative staff located globally. Manages the order of support materials for meetings, conferences, special functions, including scheduling of rooms and assisting with any required logistics. Maintains calendar, phone, and travel details. Gathers information independently using established procedures. Initiates and proposes remedies to problems to increase efficiency of workflow. Ensures office coverage during normal business hours. Plans off‑site meetings/events, recognition, team building and assists in preparing meetings with employees and external visitors and greeting external visitors of the management board. Coordinates and contacts maintenance in office areas, requests repairs and follows up. Processes expense reports using Concur. Manages and maintains supplies for the office. Initiates and manages purchase order processes and procedures. Provides administrative back‑up support within the organization. Supports new employees on‑boarding process and collaborates with support functions. Partners with HR to maintain office policies as necessary. Experiences / Education – Required Associate or high school degree desired. Minimum 2 years of experience in Administrative Assistant roles. Ability to communicate effectively, both verbally and written in English and Spanish with all levels of the corporation. Strong organizational and administrative skills, attention to detail, focus on error‑free work and follow‑up to ensure tasks are complete. Motivated, self‑starter, detail oriented. Ability to work independently and seek assistance as needed. Maintain professional composure and demeanor at all times. Ability to grow network within Corning. Ability to work within a team in a fast‑paced environment. Frequent contacts with sources outside own organization to obtain or provide information to accomplish a given task. Uses discretion to direct workflow in accordance with general supervisory guidance. Ability to prioritize and handle multiple tasks simultaneously. Stays current on trends and is willing to adapt to new technology and processes. Solid computer/technology skills. Professional presence, maturity, and appearance.
