As a Travel and Reception , your main focus will be to create an excellent travel and reception experience by coordinating smooth, compliant travel arrangements and ensuring a welcoming, reliable front-desk environment. Through thoughtful service, clear communication, and strong collaboration, you support colleagues and visitors, so they feel cared for and supported throughout their journey. This on-site role reports into our People Manager and is based out of our Mexico Support Office. A Day in the Life Working at H&M means no two days are ever the same, but a typical day will include the following responsibilities: Travel Coordination & Employee Support You coordinate and manage business travel arrangements in line with company policies. You maintain relationships with travel agencies, hotels, and transport providers to secure the best value and quality of service. You oversee travel systems and processes, ensuring accuracy, compliance, and effective communication with employees. You provide support and guidance to travelers regarding procedures, visa requirements, and expense processes. Proactively inform colleagues about travel updates, changes to bookings, and new travel rules or policies. Ensure that all hotel, booking, and transport facilities follow up correctly and are monitored efficiently. Reception & Front Desk Operations You manage reception operations to ensure a professional, welcoming, and secure environment for visitors and employees. You supervise front desk activities, including visitor registration, meeting room coordination, and handling calls, mail, and deliveries. Liaise with courier services, transport partners, travel agencies, cleaning teams, and office suppliers. Collaboration & Follow up You collaborate with facilities, security, and people teams to ensure seamless office operations and adherence to workplace safety standards. You monitor and analyze travel and reception costs, identifying opportunities for improvement and efficiency. Follow office agreements and negotiate contracts with hotels, travel agencies, couriers, taxis, and suppliers. Qualifications Who You Are: University degree or equivalent experience in Administration, Hospitality, or Business or equivalent work experience. Proven experience in travel coordination, office administration, or reception management. Excellent communication and interpersonal abilities. Customer service mindset with the ability to manage multiple stakeholders. Proficiency in Microsoft Office and travel management systems. Advanced proficiency in both English and Spanish.
