Administrative Support Specialist We are looking for a highly organized and detail-oriented Administrative Support Specialist to support a fast-paced HR Operations and Recruiting team. This role is ideal for someone who enjoys administrative work, keeping information organized, following up on pending items, updating records, coordinating tasks, and making sure nothing falls through the cracks. The position will support the handoff of information between teams and help ensure that internal processes move smoothly, accurately, and on time. This is not a full-cycle recruiting role. The main focus is administrative coordination, attention to detail, communication, documentation, and follow-up. Key Responsibilities Maintain accurate records, trackers, spreadsheets, and internal documentation Review and organize information received from different teams Support handoffs between Recruiting and HR Operations by ensuring information is complete and accurate Follow up on pending items, missing details, and process updates Coordinate schedules, confirmations, appointments, and internal communication as needed Send clear follow-up messages and coordination emails to internal teams or candidates Assist with onboarding-related documentation, start date coordination, and internal notifications Update candidate or employee information in internal systems Help the team stay organized during high-volume periods Take notes, ask questions, and escalate missing or unclear information when needed Support daily administrative tasks with accuracy, confidentiality, and urgency Requirements 1–2 years of experience in administrative support, HR administration, operations support, recruiting support, or a similar role Strong attention to detail and ability to work with accurate information Excellent organization and follow-up skills Clear written and verbal communication skills in English and Spanish Ability to manage multiple tasks and priorities in a fast-paced environment Comfortable working with spreadsheets, trackers, documents, email, calendars, and internal systems Ability to handle confidential information professionally Proactive mindset, adaptability, and willingness to learn Strong note-taking skills and ability to ask the right questions when something is unclear What We Offer Full legal benefits Paid training Permanent employment contract Mexican official holidays Vacation starting after the third month Free nutritional and psychological support Support for courses, certifications, books, and professional development Company discounts and benefits On-site position at Intermall This is a great opportunity for someone who is reliable, organized, communicative, and detail-oriented, and who enjoys helping teams stay on track through strong administrative support.
