Essential Duties and Job Functions Manage and coordinate meetings for the Chief Corporate Affairs and Patient Advocacy Officer and members of the Corporate Affairs Leadership Team; schedule meetings/rooms and resolve calendar conflicts. Provide administrative support for employee engagement events (e.g., all-hands meetings, roundtables, and other activities). Provide administrative support for patient advocacy events (including advisory board meetings). Offer onsite support to guests (patients and their families), including coordination of travel. Coordinate travel and expense reports for the Chief Corporate Affairs Officer and external speakers (including patients). Help manage department budget cycles, including long-range planning, annual budget planning, and monthly financial reporting. Assist with contract submission processes, including purchase order requests, tracking statements of work, and managing third-party invoices. Perform independent research and prepare information for special projects as requested. Coordinate, assemble, and proof presentations, agendas, and other meeting materials. Assist with other administrative projects as needed. Required/Preferred Skills and Experience Ability to work well with leaders, colleagues, peers, and outside vendors. Sound judgment and discretion with sensitive/confidential and proprietary information. Excellent interpersonal and communications skills; flexibility in a fast-paced environment. Proactive, creative, and strategic thinking across multiple projects. Team-oriented work style. Excellent attention to detail and responsiveness to deadlines. Strong spreadsheets skills to assist with budget management. At least 8 years of executive level support for VP, S/EVP, or C-level and office administration. Proficiency in Microsoft Office Suite (Word, Teams, Outlook, PowerPoint); Concur expense reporting. Bachelor’s degree preferred.
