Job Overview The Executive Assistant provides high‑level administrative and operational support to a senior leader, ensuring effective calendar management, smooth coordination of meetings and events, timely communication, and strong follow‑through on priorities and projects. Responsibilities Manage complex, frequently changing calendars across multiple time zones. Prioritize meetings and commitments based on strategic importance. Proactively resolve scheduling conflicts and anticipate time needed for preparation and follow‑up. Schedule, organize, and coordinate meetings (virtual and in‑person), town halls, and offsites, global and regional visits. Prepare and distribute agendas, materials, and briefing documents. Capture and track action items and ensure follow‑through. Coordinate domestic and international travel itineraries, including flights, accommodations, and ground transportation. Prepare detailed travel packets and adjust plans as needed. Process expense reports accurately and on time, ensuring policy compliance. Manage incoming and outgoing email and other communications on behalf of the executive. Draft, proofread, and format presentations, memos, and other documents. Act as a point of contact for internal and external partners, representing the executive with professionalism and discretion. Maintain organized digital and physical files and records. Track key deliverables and deadlines; follow up with stakeholders as needed. Support preparation of reports, presentations, and data summaries. Handle sensitive information with the highest level of confidentiality and integrity. Build strong working relationships with leaders, peers, and partners across the organization. Demonstrate sound judgment in managing sensitive topics and competing priorities. Process invoices, purchase orders, contracts and other administrative transactions. Support onboarding of new team members (e.g., scheduling, access requests). Identify opportunities to improve processes and tools to increase efficiency. Qualifications 2+ years of experience providing administrative support or in similar roles. Advanced level of English. Bachelor’s degree in Business Administration, Communications, or a related field. Strong proficiency with office productivity tools (e.g., Outlook/Email, Microsoft Office Suite, calendar tools, and virtual meeting platforms). Strong organizational skills with exceptional attention to detail and follow‑through. Proven ability to handle confidential information with discretion. Demonstrated ability to manage multiple priorities in a fast‑paced, dynamic environment. Experience in a large, matrixed or global organization. Experience supporting more than one leader simultaneously. Proactive problem‑solving and anticipation of needs. Strong collaboration and relationship‑building. Adaptability and resilience amid shifting priorities.
