Position Overview Reporting to the Head of HR, the HR Process & Travel Manager designs, documents, audits, and continuously improves repeatable operating systems so execution is fast, consistent, and measurable. You build and maintain clear workflows, standards, templates, stage definitions, SLAs, and definitions of done, and you ensure teams follow them with minimal friction. Travel coordination is another key element that you’ll steward. You’ll run a clean process from travel request to successful return, while applying the same process-engineering discipline used across the broader HR Ops system. Key Responsibilities Process Engineering & Continuous Improvement (Primary) Own HR Ops process improvement as a system: intake, approvals, execution, documentation, escalation, and closeout across recurring workflows (travel is one major pipeline) Build and maintain repeatable workflows using Lean discipline: standards, signals, measurement, and continuous improvement Create and keep current the process architecture: stage definitions, entry/exit criteria, RACI/ownership, SLAs, handoffs, and “definition of done” Maintain and update standardized tools: SOPs, templates, checklists, scorecards, forms, and trackers so there are zero missing artifacts Establish a lightweight QA/audit cadence (spot checks + periodic deep reviews) to ensure steps are being followed and documentation remains clean Track and report basic metrics (cycle time, on-time rate, stage duration, exception/rework rate); identify bottlenecks and implement practical fixes Run retrospectives on exceptions and disruptions; turn “what happened” into updates to SOPs, checklists, and training Periodically run the process end-to-end as the requestor to test clarity, fairness, and usability; ship improvements quickly Travel Operations Own the end-to-end travel workflow: intake → options → approval → booking → documentation → traveler support → closeout, with clear stage definitions, SLAs, and escalation paths Maintain travel artifacts and controls: approvals, confirmations, receipts/invoices, consolidated itineraries, closeout packets; keep travel-related policies, vendor terms, and critical dates organized and version-controlled Manage travel vendors and performance: preferred vendor roster, quotes and booking workflows, change handling, and reporting on documentation completeness, on-time booking, and exception/rework trends Required Skills High level of organizational and documentation discipline; you like keeping templates, SOPs, and trackers clean and current Strong process mindset: you think in checklists, stages, and definitions of done, and you are comfortable following and refining established procedures Strong travel operations execution: booking, change handling, traveler support, and documentation hygiene Vendor management with clear scopes, standards, and accountability Calm execution under pressure; proactive problem-solving High attention to detail and strong written communication Preferred Skills Cross-border travel coordination experience with tight timelines Experience building a lightweight operations function: cadence, checklists, vendor roster, and escalation paths Spanish fluency Core Tech Stack Notion : Most of our operations go through Notion, including checklists, logs, approvals, and documentation Communications : Telegram groups, Google Workspace KPIs You Will Own Preventative vs reactive work ratio (trend toward proactive planning vs last-minute fire drills) SOP freshness (SOPs reviewed/updated on a set cadence; no stale “source of truth” docs) Exception rate (percent of requests requiring escalations/rework due to missing info or missed steps) Travel documentation completeness (approvals/receipts/invoices/confirmations) Change-event resolution time (rebook/route changes handled fast and clean) Adoption/compliance rate (requests processed through the defined workflow vs handled ad hoc) About TZLA At TZLA Club, our members become superhuman.
