Snapshot of Your Day Admin in this role involves supporting Service Portfolio Managers, Site Operation Managers and lead technicians by handling routine administrative tasks, allowing them to stay focused on operations. Responsibilities include maintaining technician and contractor training records, supervising certification expiries, coordinating refresher courses, managing the project SharePoint site (access, structure, and archiving), acting as a key point of contact for HR, Procurement, and Logistics, and supporting work hours and expenses administration. How You’ll Make An Impact Procurement and Vendor Coordination: Handle purchasing through Ariba for goods and services, sourcing vendors, comparing quotes, and handling framework POs to ensure timely, cost-effective acquisition of materials for field operations. Site Operations Support: Oversee site inspection logistics by collecting quotes, raising POs, filing and archiving documentation, maintaining accurate records of completed work, and updating project systems such as P6. Service Order and Notification Management: Raise, track, and close out service orders for daily operations in SAP notifications, resolve rejected jobs, amend time bookings and maintain accurate service records. Inventory and Parts Coordination: Reserve parts and service kits, track goods received, support the goods receipt process through Ariba, and align physical inventory with project documentation. Training and Personnel Administration: Coordinate training bookings, maintain certification records, ensure governance compliance, and support vacation planning and new employee onboarding. Documentation and Workflow Support: Assist site staff by preparing required document packs, handling document access through Fluix workflows, and organizing all administrative outputs in line with company procedures; support expenditure control. What You Bring Bachelor’s degree in related fields. 2-3 years of hands‑on administrative support, ideally in a technical or operational environment. Bilingual in Spanish and English with strong written and verbal communication skills in both languages. Solid understanding of SAP transactions (purchase orders, goods receipt, service orders) or the ability to quickly learn them. Proficient in Excel for tracking, reporting, and data analysis.
