Payroll Prepare and file Form 941, 940, W-2, and other payroll tax forms Manage quarterly payroll tax reporting and compliance requirements Handle amended payroll filings and corrections Review payroll records for accuracy and compliance with federal and state regulations Payroll Issue Resolution Respond to and resolve IRS payroll notices and payroll-related letters Research discrepancies in payroll tax filings and resolve compliance issues Coordinate corrections and adjustments when errors occur Regulatory & Agency Communication Communicate with government agencies such as the IRS and state workforce commissions Handle unemployment tax issues, payroll tax inquiries, and regulatory correspondence Manage documentation and compliance responses for payroll-related audits or notices Multi-State Payroll Management Process and review payroll across multiple U.S. states Ensure compliance with state payroll tax regulations and reporting requirements Track payroll liabilities and deadlines across jurisdictions Manage payroll for senior leadership and executive-level employees Handle payroll-related benefits deductions and adjustments Maintain strict confidentiality around executive compensation Required Qualifications Minimum 8 years of payroll experience (strong preference for candidates who have handled senior-level responsibilities) Proven experience preparing and filing 941s, 940s, W-2s, and payroll amendments Experience resolving IRS payroll notices and payroll tax issues Experience handling multi-state payroll compliance Advanced Excel and payroll system proficiency Important Note About Experience Candidates must have personally handled payroll tax filings, amendments, and compliance matters , rather than simply processing payroll entries while a controller or CPA handled the regulatory work.
