Key Responsibilities Create, maintain, and update Purchase Orders for all Commercial Operations & Digital Teams Confirm and validate project completion with brand managers / Project owners and submit goods receipt in Ariba Create, maintain, and update IRC Purchase Orders for all Brand Teams Liaise and coordinate with Marketing Specialists for Mitems maintained in external warehouse Collect, review data from SAP, and work closely with AP Team to research and troubleshoot POs + invoices with errors / inaccuracy or missing in the system Assist with expedited payment processes for all ComOps + Digital Teams Assist Budget Manager on Month End & Year End Close by reviewing month end close reports (VIM & Open PO Reports). Contact Project owners/Brand managers for project completion and ensure all invoices are processed before close. Assist & Facilitate Vendor Creations in Master Data Manage invoices for 2-way match Purchase Orders in spreadsheets, obtain validation for brand managers/project owners and communicate SAP approvals to Directors Maintain & update internal processes for purchase order, invoices, and keep records up to date and within company policy Stay current with Procurement process changes Handle technical issues within purchase orders, procurement, invoicing, AP, & master data Additional duties/projects assigned by Manager Work closely with team members to create a culture of collaboration and continuous improvement Qualifications Essential Qualifications Minimum education of high school diploma or equivalent Must be detail & deadline oriented Excellent Administrative, Time Management and organizational skills Excellent Communication- Oral and Written Strong Analytical Skills- Able to analyze Data and Provide Feedback/Solutions Basic knowledge of Accounting Skills Knowledge of accounting processes and Vendor requirements Ability to work independently, under general direction, and create organized work plans for multiple projects and output requirements in a timely manner Ability to work under tight deadlines, engage with diverse levels of personnel in a multi-functional environment Ability to be flexible, multi-task, have strong organizational and communication skills to meet strict deadlines and manage multiple projects Demonstrate creative thinking and good business judgment in a changing work environment Advanced Computer Proficiency with SAP/MS Word/ MS Excel- Pivot Tables and VLOOKUP/ PowerPoint/MS Access/ Apple Devices and Software Desirable Qualifications Strategic - Big picture thinker with ability to drill down to the details, Planning, facilitation, problem analysis/solving, decision making, solution oriented Creativity and Innovation - Creativity, business savvy, originality, intuition, open-minded Business- Work-flow structuring, monitoring, multi-tasking, analytical, quantitative, organizational, detail-oriented, time management Leadership and Personal- Motivating others, strong cross-functional coordination and leadership, autonomy, collaboration, initiative, flexibility and adaptability, communication, sensitivity, objectivity, integrity, dependability, impact, tenacity #J-18808-Ljbffr
